At an Indian wedding, the guest list is where planning gets real. Two families, several functions and relatives in many cities all have to fit into one list. Here is a calm, step-by-step way to build it and keep it under control.

Start with three lists

First, find two numbers: how many people your venue holds, and what you can spend per guest. Then sort every name into one of three lists:

  1. Must invite

Immediate family, your closest friends, and the elders who would be hurt if left out.

  2. Should invite

Extended family, family friends, neighbours and close colleagues.

  3. Could invite

Everyone else you would like to have, if the space and budget allow.

If the first two lists already fill the venue, the third waits for another celebration.

Split it by side and family

Give each family its own share of the list, and agree on it early. A common way is one block of names for each set of parents and one for the couple. Ask each side to fill in its own part of a single shared sheet, such as a Google Sheet. Two separate lists drift apart within a week.

Decide who comes to which function

Not every guest comes to every function. A common pattern is below, but every family is different:

FunctionOften invited
Haldi and MehendiClose family and close friends
SangeetFamily and friends
WeddingEveryone on the must and should lists
ReceptionEveryone, often including colleagues and neighbours

Add one column per function to your sheet and tick who is invited to each. For the wording, see our Haldi, Mehendi and Sangeet messages and reception invitation messages.

How many people is one invitation?

Indian invitations often say सपरिवार (sapariwar), “with family”. To one guest that means a couple; to another, three generations. That gap is where head counts go wrong.

  • Count people, not invitations. Write down how many each invitation covers.
  • Name the people when you mean only some of a family: “Mr and Mrs Sharma” rather than “the Sharma family”.
  • Be gentle in the message. A warm line makes it clear without awkwardness:
  1. Naming who is invited

Dear [Name], We would love to have you, [Name] and the children with us for the wedding on [Date]. All the details are here: [Link]

Collect names and numbers

For each invitation, collect these in your sheet:

  • the name, and the relation (such as “Mama ji, mother’s brother”)
  • the side: the bride’s or the groom’s
  • the WhatsApp number, with the country code for guests abroad
  • how many people the invitation covers
  • which functions they are invited to
  • their city, and whether they need a place to stay
  • food needs, such as Jain, vegetarian or allergies

Organise it for WhatsApp

Most invitations go out on WhatsApp, so set your phone up before you send:

  • Save every number with a clear name. Broadcast messages reach only people who have saved your number too.
  • Make a broadcast list per group, such as “Groom’s office” or “Mumbai relatives”. Each guest gets the message as a personal chat.
  • Message elders one by one, and call them as well.

Track who is coming

Ask guests to reply by a date two to three weeks before the first function. Then update one “coming” column in your sheet as replies arrive.

For guests who haven’t replied by the deadline, a short nudge works:

  1. Reply reminder

Hi [Name]! 🙏 We’re finalising numbers for the wedding. Could you let us know by [Date] if you’ll be with us, and how many of you are coming? [Link]

The final count for the caterer and venue

Ask your caterer and venue when they need the final number. Many want it about a week before. Then:

  1. Add up the confirmed people

Count people per function, not invitations.

  2. Call the maybes

A quick call turns most “maybe” replies into a yes or a no.

  3. Agree a buffer

Some guests come without replying, and some who said yes don’t come. Agree a sensible buffer with your caterer, who knows what is usual for your kind of wedding.

A simple wedding guest list template

Copy these columns into a spreadsheet. One row per invitation:

NameSideRelationWhatsAppPeopleFunctionsCity / stayReplied
[Name]Bride[Relation][Number]4Mehendi, Wedding[City], needs stayYes, 4
[Name]Groom[Relation][Number]2ReceptionLocalNot yet

Mistakes to avoid

  • Two families keeping two lists that never get merged.
  • Counting invitations instead of people.
  • Forwarding the invitation to a big group without saying who it is for.
  • Forgetting the personal call to elders.
  • Starting late. Begin the list as soon as the date is fixed.

Frequently asked questions

How many guests are there at an Indian wedding?

It varies widely, from small family weddings to many hundreds of guests. Don’t start from an average: start from your venue’s capacity and your budget per guest.

How do we decide whom to invite?

Sort everyone into must, should and could invite. Fill the venue from the top down, and agree each family’s share early.

Should we invite colleagues to the wedding?

Many couples invite colleagues to the reception only. See our reception invitation messages for the wording.

Do children count in the guest list?

Yes, for seating and food. Ask your caterer how they count children, and write the number of children for each family.

When should the guest list be final?

Close the list before the invitations go out, six to eight weeks before. Give the caterer the final head count when they ask, often about a week before. See the full invitation timeline.
