How to Send a Wedding Invitation on WhatsApp (Step by Step)

Send your wedding invitation on WhatsApp the right way: personal chats, broadcast lists and groups, link previews, follow-ups and etiquette for elders.

First, choose what you'll send: a link, PDF, video or image

WhatsApp can carry all four. They behave very differently on your guests' phones, though.

  • A link is the lightest. One tap opens the full invitation in the browser, and if you change a detail later, everyone sees the update.
  • A PDF or video has to download first. On a busy family phone with auto-download switched off, it may simply sit there unopened. A video can't be corrected after you've sent it.
  • An image is quick but holds little detail, and nothing in it is tappable.

Step 1: Organise your guest list for WhatsApp

Before you send anything, sort your list into groups. Each group will get a slightly different approach.

  • Elders and close family: a personal message, ideally after a phone call.
  • Relatives: personal messages, or a broadcast list if the list is long.
  • Friends: a broadcast list or a friends' group.
  • Colleagues and acquaintances: a broadcast list, or a short personal note.

Keep a simple sheet with columns for name, side (bride or groom), phone number, which events they're invited to, "sent" and "replied". Save every guest in your contacts under a clear name. Broadcast lists depend on it.

Step 2: Write a short, warm message to go with the link

Lead with the invitation itself, then the essentials, then the link on its own line, then a personal line. For example:

  • Use each person's name in the greeting.
  • For elders, keep emojis to a minimum and avoid ALL CAPS.
  • Put the link on its own line so it's easy to tap.

Step 3: Pick the right way to send

One-to-one chats: best for elders and close family

It's slower, but it's personal, and it lets you follow up with a call. If someone matters to you, invite them this way.

Broadcast lists: best for many saved contacts

A broadcast list sends your message to each person individually. It arrives as a normal personal chat, recipients don't see each other, and replies come back to you privately. Two things to know:

  • Only contacts who have saved your number receive it. If someone hasn't saved you, the broadcast quietly won't reach them. Send those people a personal message instead.
  • A broadcast list can hold up to 256 contacts. WhatsApp is also rolling out monthly broadcast limits in some countries; check the limit shown in your app before planning a large send.

On Android, look for Broadcast lists in the Chats menu. On iPhone, open Settings or your profile picture, then Broadcast messages and New List. Menu labels can vary by app version. WhatsApp's own guide to broadcast lists has the current steps and limits.

Forwarding: quick, but limited

You can forward a message to up to five chats at once. Messages that have been forwarded many times carry a label and can only be forwarded to one chat at a time (WhatsApp's forwarding limits). A forwarded label also looks less personal, so for invitations it's better to paste a fresh message than to forward one.

Groups and communities

Family groups are useful for reminders and updates, but think before using them for the invitation itself:

  • Everyone in a group can see each member's number.
  • Adding people to a large group without asking can annoy them.

For big guest lists, an announcement-only group or a community keeps things tidy.

Status

Sharing your invitation on Status is a nice announcement, and it's visible to your contacts for 24 hours. It isn't a substitute for a personal invitation.

Step 4: Check the link preview before you press send

For many links, WhatsApp shows a small preview card with a title and an image.

  • Paste the link and wait a moment for the preview to appear, then send.
  • If no preview appears: make sure the link is complete and opens in your phone's browser, and try putting it at the start of the message or on its own line.
  • Test first. Send it to yourself (or a family member) before the big send. Previews are often cached, so get it right the first time.

Step 5: Follow up, remind and keep everyone updated

  • Ask for replies by a date. If your invitation has RSVP built in, replies collect themselves. Here's how online RSVP works.
  • Send one reminder about a week before, with the schedule and maps, and a short note the day before each ceremony.
  • If something changes, update the invitation (the link stays the same) and send a one-line note: "Sangeet now starts at 7 pm; details in the same link."
  • Pin the invitation in your family group, so nobody has to scroll for the venue on the day.

WhatsApp invitation etiquette

  • Call elders first (or right after sending), especially those who'd expect a visit.
  • Send in the daytime. A late-night message to an elder isn't the best start.
  • Each side invites its own guests. Coordinate so nobody receives two different invitations.
  • One reminder is enough. Repeated nudges feel like pressure.
  • For guests abroad, say that times are in IST and give them extra notice for travel.

Troubleshooting

  • "The link doesn't open." Check that the invitation is published and the link was copied completely. Try opening it in Chrome or Safari.
  • "A guest says they never got it." They probably haven't saved your number, so the broadcast didn't reach them. Send it personally.
  • "The video won't download." Send the link instead. It's a fraction of the size.
  • "It says 'Forwarded many times'." Paste a fresh copy of your message instead of forwarding.
